How to see which staff are currently clocked in and on break (often used for fire roll call)

If you use RotaCloud's Time and Attendance package, you can quickly see which staff are on shift - this is particularly useful for doing a fire roll call.

Seeing who's in on desktop

The 'Who's In' report can be used to see which staff are currently clocked in, who's late, who's missed their clock in, and who's on a break* at the current time (this cannot be filtered to different date).

This can be access by all Admin users and Managers with the relevant permissions by going to the Reports tab. From the menu on the left, select 'Who's In'.

The report will default to show all staff you manage but can be filtered to show specific Employees, Locations, or Roles in the top left corner.

Seeing who's in and editing records on the app

Your 'Who's In' section on the app can be used to see which staff are currently clocked in, who's late, who's missed their clock in, and who's on a break* at the current time (this cannot be filtered to different date).

All Admin users can view this as well as Managers with the relevant permissions. To access this open up your app and go to the Dashboard tab - next, tap the 'Who's in' section.

You'll then see a list of all your staff who should be scheduled that day showing who is currently clocked in, who has missed their clock in, who has clocked out, who never clocked in or out for their shift ('No show'), who is on their break, and whose shift hasn't yet started. You can tap one of these sections to see further details.

Any missed clock ins will appear at the top so you can tap and edit them if you like. You'll then see a breakdown of the scheduled shift for that user and can tap 'Add record' at the bottom of the screen.

Finally, tap the 'Start time' and/or 'End time' icons and enter the correct times. Once done, tap 'Create record'.

*Employees need to clock in/out of breaks for this - this setting can be switched enabled in your settings under 'Time and Attendance'.
