Employees' TOIL allowances in negative figures and how to stop it

TOIL, or time off in lieu, can be fully managed in RotaCloud. You can assign a TOIL balance by adding in when employees have worked additional days. The TOIL balance can be a negative figure if the employee has requested or been given over their allowance.

Giving a negative TOIL balance

While a negative balance cannot be assigned as such, you can enter a TOIL entry which exceeds the number of hours the employee has in their TOIL allowance (or enter a TOIL entry without any TOIL added to an employee's balance).

This will mean the employee owes hours to the business. When they then work back the hours, you can add their TOIL and the system will update their allowance accordingly.

Preventing a negative TOIL balance

If you would like to stop employees requesting over their TOIL balance, go to your account settings via the cog in the top right corner of you screen. Scroll down to the section 'Leave' and tick 'Employees cannot request holiday or TOIL leave (where TOIL is enabled) that exceeds their corresponding allowance'.

This will stop employees making requests which exceed their TOIL balance however Admin and Manager* users are still able to manually add TOIL on behalf of their staff even if this exceeds their balance.

*Managers must have the correct permissions enabled.
