Leave request rules are available as part of RotaCloud's Pro package. They allow you to set up rules for how many staff are allowed to have holiday at once and automatically declines any requests which break this.
There are a number of different options for the rules you can set - for example, you could set up your account so only three people from a certain Location are permitted to be on leave at one time.
Setting up leave request rules
Leave rules can be set up on your Leave page. Click the 'Tools' dropdown and select 'Request Rules'.
On the next page, click the blue plus icon to add a new rule.
Give the rule a name, add in the start and end date you would like it to run between, and add a message which employees will see if they try to request leave which breaks the rule.
Scroll down to begin adding your rules. you can choose from a number of different options including:
Minimum employees available
Minimum available employees on a location
Minimum available employees in a group
Minimum available employees assigned a role
Once you've made a selection from the dropdown, you'll be asked to input details of the rules. For example you could select 'Minimum available employees on a location' and then enter 'There must be at least [9] employees on [location name]' (see below).
Rules can also be layered up to be made more specific. To do this, click 'Add Rule' and complete the same steps.
Once you're done adding your rules, click 'Save' at the bottom of the page. If employees attempt to make a leave request which breaks the rule(s) you've set up, they will see the message added.
Please be aware, multiple different request rules will layer up and work simultaneously. You can see all rules which have been created on the main 'Request Rules' page.
Editing or deleting a leave request rule
Request rules can edited or deleted on the main Request Rules page. To access this, go to your Leave page, click the 'Tools' dropdown and select 'Request Rules'. Here, you'll see a list of all request rules in place. You can simply click on the record you'd like to amend to make changes to it or delete fully by clicking the red 'X' beside row you need.
If an employees needs to have leave which breaks one of the rules set up, you can manually add leave on their behalf (in the same way regular leave is added) without needing to delete or edit it.
