How to import leave records and leave allowances in bulk

If you're just starting out with your RotaCloud account and have a lot of data to import, this can be done in bulk via a CSV file. This can be done for a number of parts of the system including leave allowance and existing leave records.

Importing leave records

Leave records can be imported via the leave page using a CSV template which you can download here:

When filling in the template with your details, you'll need to ensure the first and last name sections match exactly the way they're entered in your account. The date formats will also need to match (YYYY-MM-DD).

The different types of leave which can be entered under 'Leave Type' are:

  • Holiday

  • Sickness

  • TOIL

  • Public Holiday

  • Absence (authorised)

  • Absence (unauthorised)

  • Compassionate

  • Maternity / Paternity

  • Parental

  • Study leave

  • Training

  • Furlough

  • Other leave

  • Carer's leave

Once you have filled in your template with your leave data, you can import it by clicking the upwards arrow in the top right corner.

You'll then be able to browse your files and select your completed template (this will look different depending on your device). Select your file and each row will show on RotaCloud's import tool. Click 'Continue' to begin the import.

Each successful record will have a green marker beside the row on the left. If any records cannot be imported, this marker will be red and can be hovered to see details of why it's not been successful.

Importing leave allowances

Leave allowances can be imported in bulk as part of our employee import. You can find the template for this here:

To ensure the data imports correctly, ensure the email address for the employee matches exactly what is in RotaCloud. You can then add a figure in either hours or days for their annual leave allowance.

Once you have filled in the template, you can import it. Go to Company and select Employees - on the Employees page, click the upwards arrow icon in the top right.

You'll then be able to browse your files and select your completed template (this will look different depending on your device). Select your file and each row will show on RotaCloud's import tool. Click 'Continue' to begin the import.
