How do I edit employee profiles?

How to edit information in employees' profiles such as wage, locations, leave allowance etc.

An employee's RotaCloud profile can be used to control most aspects of their account. These can be edited by an Admin or Manager* level user when needed.

Who can see and edit profiles?

  • Admin
    Admin-level users can view and edit all data in all profiles on your account.

  • Manager
    Manager-level users can edit profiles of employees they manage providing they have the relevant permissions. Managers will need to have the permission 'Add employees and manage basic information (email, locations, roles, allowances, etc)' but will need to have other permissions enabled depending on what you would like them to be able to edit (for example, salaries).

  • Employees

    Employee-level users don't have any access to their profiles.

What is controlled in a profile?

Employee profiles can be used to changed various aspects of an employee's account such as their personal information, the Locations or Roles they're assigned to, their pay, holiday allowance etc..

A profile will have a list on the left which can be used to navigate through the different aspects of the their account.

Things that can be changed in an employee's profile are:

  • Account type

  • Group

  • Weekly hours

  • Holiday allowance/accrual rate

  • Default role

  • Employment type

  • Start/final working date

  • Notes

  • Name

  • Gender

  • Date of birth

  • Emergency contact details

  • Contact details (address, phone number etc.)

  • Locations assigned to

  • Roles assigned to

  • Wage information (payroll ID, NI number, wage, custom role rates, leave rates)

  • TOIL (time off in lieu)

  • Work schedule (working days and days off)

  • Documents (Pro)

  • Logbook (Pro)

Editing a profile

To access and edit a profile, go to the Company tab and select Employees. Select the user whose profile you'd like to amend from the list of employees.

You'll then see the employee's profile and a list on the left allowing you to choose which section you'd like to change.

Click on what you'd like to change and enter the new data. You can edit multiple sections in one go and, once happy, scroll down and click 'Save' to apply all changes made.

Please be aware, most changes will also apply retrospectively, for example, to salary and leave allowance. Some changes, for example, work schedule, will only apply from the date changed onwards.
