How do I set up document signing?

RotaCloud's Pro package gives you access to our document storage tool. As well as uploading documents to an employee's profile, you can also choose to share documents with staff and have them acknowledge and sign them.

Uploading a document to an employee's profile means it will only be visible to Admins and Managers*. To begin, click your Company tab and select Employees. Click on the employee you'd like to upload a document for. From the menu on the left, select 'Documents'.

Click the blue plus icon to upload a new document.

You'll then see a pop-up box - click 'Choose file' to browse your device and select the file you'd like to import (this will vary and look different depending on your device).

Once chosen, your file will show on the pop-up. Under 'Visibility', tick to share the document with the employee. You'll then see an additional option for a signature to be required. Tick this and click 'Upload' when done.

The employee will then be notified that they have a document that requires a signature and can log in to sign. The status of the document will show in the Documents section of their profile.

To upload a document requiring a signature on the app, tap the three lines in the top right corner of your screen to open your menu - tap on the Documents icon.

On the next screen, tap the blue plus in the bottom corner of your screen - you'll then have the option to upload either a company or employee document. Documents which require a signature must be uploaded to an employee's profile so you'll need to tap 'Upload Employee document'.

On the next screen, tap the 'Employee' section and select the employee you'd like to add a signed document for from the list. Next, tap the 'Choose file' section and select the document you'd like to upload. You'll then see two further options - tap 'Share document with [employee name]' enable this. Once you have set the document to be shared, an additional option to require a signature will appear - tap this to toggle it on. Finally, tap 'Upload document'.

Once uploaded, your employee will be notified that they have a document which requires a signature and can log in and sign this on either the app or on desktop.

What file formats can be signed?

Document signing can be used for the following file formats:

  • .docx

  • .doc

  • .jpeg

  • .jpg

  • .pdf

  • .png

  • .xlsx

Other file formats can be imported, however signing won't be permitted.
