How do I set up document acknowledgement?

Uploading documents which require employees to confirm they have viewed them

RotaCloud's Pro package gives you access to our document storage feature which allows you to import files to your account. When importing via the Documents page, you also have the option to share the file with staff and require them to acknowledge it.

Uploading a file requiring acknowledgement

To begin, click your Company tab and select 'Documents'. (You'll see a list of all documents and their status). Click the blue plus icon to upload a new document.

You'll then see a pop-up box - click 'Choose file' to browse your device and select the file you'd like to import (this will vary and look different depending on your device).

Once chosen, your file will show on the pop-up and you can choose if you would like to share it with your employees under the 'Visibility' section. In order to enabled acknowledgement on the file, select custom - this allows you to choose specific users to share the file with.

Tick the employees you'd like to share the file with and, at the bottom of the pop-up window, tick 'Acknowledgement require?'.

Once done, click 'Upload'.

What file formats can be acknowledged

Document acknowledgement can be used for the following file formats:

  • .docx

  • .doc

  • .jpeg

  • .jpg

  • .pdf

  • .png

  • .xlsx

Other file formats can be imported, however acknowledgement won't be permitted.
