How do I see cost estimates for salaried staff?

Viewing estimated costs for salaried staff on the Rotas and Reports pages

If you have permission to view pay information, this will show on the Rotas page and Reports page. For hourly paid employees, this will show as default - for salaried staff, you can choose to show estimates in your settings.

Enabling salaried staff estimates

Viewing salaried staff cost estimates can be enabled by any Admin user. To do this, click the cog icon in the top right of your screen to access your account settings. Near the top of this page, tick 'Include annual salaries in rota costs'.

You will then see two options - 'Use hourly rate equivalent' and 'Use day rate equivalent'.

Hourly rate - if you select this, the system will take the employee's salary and divide it by 52 (weeks) and then again by their weekly hours to find an hourly rate equivalent. This hourly equivalent will then show when adding shifts on the Rotas page and on the Reports page.

Day rate - if you select this, a day-rate equivalent will show on the Rotas page only and not the Reports page. This is calculated by dividing the annual salary by 52 (weeks) and then dividing this by the number of working days in a week*.

In order to use this, you will also need to select a Location to apply the day-rate to to avoid duplication of costs. This can be done in an employee's profile in the 'Wage and Salary' section.

Tick the option you like and it will automatically save.

Viewing salaried staff estimates

To view salaried estimates on the Rotas page, simply go to Rotas and add a shift for the employee. If using the hourly equivalent, each shift you add will total us costs for the employee on an hourly basis. If using the daily equivalent, the total costs for the employee will already be filled in on your chosen Location.

To view salaried estimates on the Reports page, you will need to use the hourly rate equivalent. You can then simply run your report and costs will show based on what is scheduled.
