RotaCloud's Pro package allows you to add an expiry date to documents uploaded to an employee's profile. This is ideal if you have files that or need to be reviewed or updated such as training or certificates.
Uploading a document with an expiry date
Documents must be imported to an employee's profile if you'd like to add an expiry date to them. To do this, go to your Company tab and select 'Employees'. From the list, select the employee you'd like to add a document to.
In the employee's profile, using the menu on the left, select 'Documents' then click the blue plus icon to upload a new document.
On the pop-up window, select 'Choose file' and select the file you'd like to upload from your device's files.
Once select, you will see the option to 'Add expiry date'.
Tick this then click the blank date section - this will open up a calendar selector.
Once you've selected the date you'd like the document to expire on, click 'Upload' and your file will be added with it's expiry date.
The employee's document list will now show any expiry dates that have been added.
Please note, expiry dates can only be added when uploading a document - they cannot be added to documents already uploaded.
Who can upload documents and add expiry dates
Documents can can be uploaded by Admin user or a Manager with the permission to 'Add employees and manage basic information (email, locations, roles, allowances, etc)' (for employees assigned to their 'Locations Managed').
What happens when a document expires
When a document expires, it's expiry date will simply show as the date in the past - no documents will be removed or impacted by the expiry date.
