How to make changes to or copy shifts using the Bulk Actions tool

RotaCloud Pro gives you access to the Bulk Actions tool. This allows you to filter down shifts, find all the ones you want, and make a change to them all at once - this can be a number of different changes such as start/end times, changing Role or Location, publishing/unpublishing, deleting etc..

Opening up Bulk Actions

If you have RotaCloud Pro, the Bulk Actions tool can be found on your Rotas page. Simply click 'Tools' then 'Bulk actions'.

You'll then see a warning informing you of the tool's ability to make mass changes and that this cannot be undone. Once you're happy, tick 'I understand the risks and wish to continue' and then 'Continue'. A second warning will ask you to confirm - click 'OK' to continue.

Filtering down your shifts

The next step is to filter down your shifts to find the ones you wish to change. The first filter you need to apply is the date range - this is essential every time you use the Bulk Actions tool.

On the left of your screen, click 'Date' and, on the pop-up window, click the 'From' option to open up the calendar. Select the date you would like the filter to start from, and then to the same for the 'To' option and 'Save'.

If you like, you can apply other filters on the left such as Role, Location, employee etc..

You should now see a list of shifts that match your criteria.

If nothing is showing, it is likely because there are too many shifts and you may need to apply more filters or change your date range. Alternatively, it could be because no shifts match your filters and you may need to remove or adjust some.

Actioning your shifts

When you have a list of all the shifts you would like to change, click the 'Select action' dropdown in the bottom right corner to select the action you need to make. You can choose from:

Copy to another employee

Duplicates the selected shifts to any other employee (retaining the original shift)

Move to another employee

Moves the selected shifts from one employee to another (removing it from the original employee)

Copy to Open Shifts

Duplicates the selected shifts to Open Shifts on the same Location (retaining the original shift)

Move to Open Shifts

Moves the selected shifts to Open Shifts (removing them from the original employee)

Change start/end time

Changes all the start and/or end times of the selected shifts. (If you only wish to change either the start or the end, leave the other time blank)

Change break

Adds in or updates the break length (in minutes) of the selected shifts

Change Location

Changes the Location of all the selected shifts

Change Role

Changes the Role of all the selected shifts

Add/change note

Adds or updates the shift note for all selected shifts. (To remove notes, leave the text box blank)

Publish shifts

Publishes all selected shifts

Unpublish shifts

Unpublishes all selected shifts.

Delete Shifts

Permanently deletes all selected shifts.

Once selected, click 'OK' on the popup box. The change will then be actioned for you - shifts that have been successfully changed will have a green marker beside them on the left. If any changes have been unsuccessful, the marker will be red and can be hovered to see why it has not worked.
