How many Employees, Locations, and Roles can I add?

Explaining caps and limits in your RotaCloud account

There are three main elements of RotaCloud which your account and data is then built on. These are Employees - the users of your account, Locations - the different rotas or sites that you have, and Roles - what type of shifts you are assigning and how much you pay for each.

Employee limits and billing

You can add as many users you like to your RotaCloud account but will be billed accordingly. If you are unsure how many users you have paid for on your account, click the cog icon to access your settings and, from the menu on the left, select 'Billing'.

Scroll down to see your invoices and the latest one will tell you how many user you have paid for, therefore, how many you are able to add.

If you need to add additional users to you account and move up onto a new plan, you can simply add them on the Employees page as normal. You will then receive an email from RotaCloud informing you you have entered into a new pricing plan and will be given details of how much this will be.

If this is done partway through your billing cycle, the invoice will be prorated so you're only paying for the time the users are on your account. You will also have a five day grace period from the time you receive the email to remove any additional users if you do not wish to be charged.

Billing-related emails will be sent to your billing email address. To check or amend your billing email, go to Settings via the cog icon and select 'Billing' from the menu on the left.

If you are currently using a free trial of RotaCloud, you are not limited in the number of users you can add to your account.

Location and Role limits

RotaCloud allows you to add as many Locations and Roles to your account as you need at no extra cost. There are default limits set in each account, however - for Locations, this is 500, and for Roles, this is 100.

If you have reached these limits but need to add additional Locations or Roles to your account, please reach out to our support team on live chat or via email at support@rotacloud.com and they'll be happy to change this for you (again, there no additional cost for this, however, please be aware that exceeding these numbers may cause lag in your account due to the amount of data being processed).

Adding an employee user cap

To ensure you can't accidentally exceed your plan and incur additional charges, we are able to add a cap to the number of users on your account. If you'd like a cap/limit put in place, just reach out to our support team on live chat or via support@rotacloud.com and they'll be happy to help.
