How to setup and access more than one RotaCloud account using the same email address and password

RotaCloud allows you to access more than one account using the same email address and password. This helps separate out accounts, for example, if you need to have different billing details on each, or if you have an employee who works at a different company that also uses RotaCloud.

New account vs. new Location

New location

If you choose to create a new Location in your existing account, this will create a new rota. You can assign staff to it, assign a manager to oversee it, and run reports on it. The main limitation of this is that all global account settings on your existing account will apply and cannot be customised. For example, all users will have the same pay period, will need to be on the same package (standard, Time and Attendance, Pro), and your billing details will be the same.

New account

Creating a new account will give you flexibility with your account settings. Your new account can have a different pay period to your existing one, you can assign users who cannot be seen by anyone on the old account, and you can pay with a different card or invoice. A separate account, however, means that no data will be shared between the two. For example, employees won't be able to swap shifts across the accounts, and reports would be separate so you can't see a summary of data across both.

Opening a new account with the same login details

If you already use RotaCloud but would like to create a completely separate account, accessed via the same email address you currently use, please send a message to our support team via live chat or at support@rotacloud.com. They'll just need to know the company name of the new account and you can then begin setting up your billing, Locations, Employees etc..

Setting an employee up in multiple accounts

If you already have multiple accounts and would like to give someone access to the via one login, or if you have an employee who also works for another business that uses RotaCloud, you can set this up on the Employees page.

To do this, Click the 'Company' tab and select 'Employees'. Click the blue plus at the top of the page to create a new user and enter the employee's name and email address. Providing the email address is added here, the employee will be given access to the new account including their existing one(s).

Please note, if you have already set up the employee with an account but not added their email address, the two accounts cannot be linked up. The only way to given access to multiple accounts is at the moment they are created.
