The RotaCloud Memos tool allows you to send out a message to either individual, selected, or all staff. This will be sent to them in the form of an email and, if they reply to it, it will go straight to the email address you have registered in your account.
Who can send a memo
Memos can be sent by all Admin and Manager level users. However, who those memos can be sent to will vary depending on the user's permissions.
An Admin will be able to send memos to everyone in your account without restriction (providing they have an email address entered). For Managers, they will only be able to send memos to employees who work at Locations they manage - if they do not manage any Locations, they will only be able to send memos to themselves.
Employee level users are not able to send any memos but can respond to memos they receive (via email) and the reply will go back to the sender via email.
Please note, memos can only currently be sent on desktop.
Sending a memo
To send a memo, click the paper plane icon in the top right corner of your screen.
You'll then see this pop-up box allowing you to enter a subject/title for the memo, and the message you would like to send. If you would like to add a file to the memo, click 'Choose file' and browse your device to find and add the file you'd like.
You can then scroll down to select the user(s) you'd like to send this to. Tick the relevant users from the list or click 'Select all' to send to everyone.
Alternatively, you can start typing the name of a specific user or a specific group to filter the list down and make your selection. Once done, simply click 'Send'.
Memo history
If you need to check what memos have been previously sent, you can access your memo history by clicking the paper plane icon and, within the blue message at the top of your memos box, click 'view a history'.
You'll then see a list of all memos that have been sent on your account including when they were sent, how many users they were sent to, and what percentage of users have read the memo. (Unfortunately, it is not currently possible to see which staff have opened the memo).
Please note, attachments will not be part of your memo history.
