How do I pay for RotaCloud?

The different methods of payment available for RotaCloud

RotaCloud allows you to pay for your account either monthly or annually, by card or BACs*, and change your VAT based on country.

This can be changed by any Admin user on your account any time you need.

*BACs (bank transfer) payments are only available for annual billing.

How does my plan work?

RotaCloud charges you automatically based on the number of users you have on your account on your billing date. You can check this by logging in to your account and going to Company and then Employees - the number of users you have will show at the top of the page.

If your numbers increase part-way through your billing period, you will receive an email to your billing email address making you aware of the additional costs and giving you a five-day grace period to remove the additional users if you don't wish to be charged. If the users remain on your account, you will be automatically charged or invoiced for them pro-rata - this means you're only paying for the additional staff from when they are added, not the full billing period.

Monthly vs. annual billing

RotaCloud allows you to pay for your account either on a monthly or annual subscription. Each account will default to monthly billing, but you can change this on our billing page at any time.

Monthly billing is recommended if your staff numbers tend to fluctuate a lot to avoid being charged for staff on your account who are only on for part of the year. We would also recommend this if you're not yet able to commit to using the system.

Annual billing gives you the benefit of two months free - you will be charged an upfront cost for 10 months and will get access for 12. You will also get the benefit of the option to pay by BACs (bank transfer) if you wish.

Please be aware we're not able to refund should you cancel partway through your subscription - you will, however, always get access for the amount of time paid for.

Paying by card

If you'd like to pay by card, simply log in to your RotaCloud account and click the cog icon to access your account settings. From the menu on the left, select 'Billing'. If you haven't yet set up any payment information, you will see an option at the top of the page to 'add your payment card' - click this, then enter your card details.

Paying by BACs

If you have chosen to pay for an annual subscription of RotaCloud, you have the option to pay by BACs (bank transfer). This means we will invoice you for your RotaCloud account and you'll have 30 days to make the payment (during which you will have full access to your account).

If you'd like to pay by BACs, just reach out to our team at support@rotacloud.com and they can arrange this for you.

Changing VAT by country

All RotaCloud accounts will default to the United Kingdom but, if you are based outside of the UK, you can change this by going clicking the cog icon to access your account settings and then selecting 'Billing' from the menu on the left.

Scroll down the page and, below your billing email, select the correct country. Your bills will then change accordingly to reflect this.

Does my free trial have restrictions?

When signing up for a new account, you get a 30 day free trial of the system. This can include any packages you like (standard, Time and Attendance, Pro, SMS) and isn't at all limited allowing you to add as many users, Locations, Roles, etc. as you like.

Account expired

If your account has expired due to your free trial ending or an unpaid invoice, your data will not be deleted from your account and will be stored for a minimum of six months* before being removed. You can add or update your billing information on your Billing which you should have the option to navigate to when you log in.
