A rundown of some key changes we've added to the new rota builder

As of 17th September 2024, we've released our brand new rota builder. Our functionality and tools will remain largely the same, but we've added some extra features to speed up planning your rotas.

Below highlights some key changes we've made to you new-look Rotas page.

Month-view

Your can now view your Rotas, not only across a week, but across the whole month, too.

To toggle between your week and month view, click 'Week' or 'Month' in the top left corner. On the month-view, you can then perform all the same actions as you can on the week-view such as planning shifts, managing leave, and viewing Availability, but you will also see an overview for the whole month.

If you use Labour Forecasting and Budget Caps as part of our Pro package, you'll also see this highlighted at the top of the page in a condensed view. If any of your figures are over what you have input in your Settings, the arrow will show red.

Month-view is particularly helpful when publishing shifts - all shifts can be published for the entire month as opposed to week-by-week using the same 'Publish' button in the top right of your screen.

Add shift card

Adding a shift follows the same simple steps as before - click the cell you would like to add a new shift to and enter the start and end time, break (if applicable), Role, and choose to publish.

In addition to this, you'll now also see some extra dropdown options for changing the employee, and changing the Location, making moving shifts much more flexible.

Adding multiple shifts has been made easier too - hover an existing shift and click the three dots that appear below it. You can then simply click ‘Add shift’ and enter the shift's details.

Leave on the rota

We’ve made changes to our leave tool making it much more accessible from the Rotas page. As well as adding leave from the rotas page, you can also click an existing leave record to edit it.

Leave requests can now also be approved or denied directly on the rota. This means you can see clashing shifts and the rest of your team’s schedule before actioning. When you see a greyed-out leave entry with a dotted line, this means it's pending - you can hover for more details.

Copy, tools, and filter menus

Your Tools menu has now been broken-down into three sections to make it easier to find the tool you need. You’ll find Tools under the spanner icon, Sort and Filter under the slider icon, and Copy options under the overlapping squares icon.

We've also moved your Templates tool into the Copy menu, and reordered the lists so the most commonly used tools show higher up the list.

Keyboard shortcuts

You can now add days off using a helpful keyboard shortcut. To use this, just hold down the 'D' key on your keyboard and click where you want to add or remove your day off. Days off will show as shaded grey on the rota and won't be deducted from an employee's holiday allowance.

You can also use this tool to add days off for all staff for a whole day, by clicking the day at the top of the rota, or, for an employee’s whole week or month by clicking on their name.

To see a list of the other keyboard shortcuts available, click the spanner icon to access your Tools menu and select 'Keyboard shortcuts'.

Milestones

To keep track of your employees milestones, their birthdays and work anniversaries now show at the top of the rota. If a day has milestones, it will be indicated by a star at the top of the rota which you can hover or click for more details.

Birthdays will flag up based on the date of birth entered in an employee's profile, and work anniversaries will show based on their start date.
