If you use RotaCloud's Time and Attendance package, you will have access to timesheets. Attached to each timesheet record, you can see the employee's clock in/out time, their location when they did this, any amendments made to the record, and their clock in/out photo*.
*If using photo-taking on terminals - see below.
Viewing timesheet history
Each timesheet record has a history attached to it which shows the when the employee clocked in/out or when the record was manually added. It will also show when it was approved and any manual changes which have been made.
To view history, go to your Attendance page and select the employee you'd need from the menu on the left. Scroll down the employee's timesheet to find the record you'd like and click the three grey dots on the right of the entry.
From the list, select 'History' and you'll see a full list of when the record was added and any changes made.
Viewing location data
If staff clock in using the RotaCloud app, you will also see a cross-hairs icon on each timesheet record. Click this to see where your employee was located at the moment they clocked in - this is particularly helpful when you have staff working from home or to check when staff are having issues clocking in (when you have a restriction in place).
Viewing terminal photos
If staff clock in using a terminal (a fixed clocking in station at your workplace) you can enable photo-taking to ensure the correct employees are clocking in and not sharing PINs. To check the photo, click the camera icon on a timesheet record.
Photos will be stored in the system for two months before being permanently deleted.
Please be aware, history, location, and photos can only be viewed on desktop and not when using the RotaCloud app.
