You can send someone a link to the rota even if they don't have a RotaCloud account

You can use our Share function to share a non-editable version of your rota with a non-RotaCloud user.

To do this, go to the Rotas page.

Navigate to the Location you want to share using the Locations drop-down menu in the top-left corner.

Then, click Tools → Share.

A dialog box will pop up prompting you to create a new link. Click ‘Create Link’.

A link will then be generated. You can send this to whoever else needs to view the rota.

This link works for the whole rota, not just the current week.

Please note that the rota accessible through this link is completely non-interactive - anyone viewing the rota using this link will not be able to make changes or requests.

However, the link will update in real-time, so whoever is using the link will always see the latest published rota.

Pro Feature

With our Pro package, users can make their shared links more secure by password-protecting them and/or setting an expiry date for the link. These two options are found next to the ‘Create Link’ button.

Use the radio buttons to choose whether or not you’re going to require a password, or set an expiry date. The password will need to be entered each time the shared link is used. If you set an expiry date, the link will stop working at 00:00 on the date shown.

When you’re happy with the settings, click ‘Create Link’ to generate the link.
