Which Leave Year should I add TOIL hours to?

When adding Accrued TOIL for an employee, you should select the Leave Year in which the employee is allowed to take that time back as Leave.

RotaCloud allows you to add TOIL hours that were earned in one Leave Year to the balance of another Leave Year.

The benefit of this is that Admins and Managers are better able to control the accrual and usage of TOIL at the end and beginning of a Leave Year, and employees can have greater flexibility at this time.

Example: Claire is an Administrator whose company Leave Year runs from 1st Jan - 31st Dec. She’s agreed with her staff that overtime worked during the busy December period can be taken as TOIL from January onwards, once things have quietened down.

Sam, an employee, works 2 hours of overtime on 3rd Dec 2024, which is accrued as TOIL. When Claire adds this to Sam’s profile, she should add these hours to the 1st Jan - 31st Dec 2025 Leave Year, and not to the current 2024 Leave Year.

Sam will then be able to take the time off as Leave from 1st Jan 2025 onwards.
