How do I set up my RotaCloud account?

How to accept your invite, set up your account, and log in for the first time

If your employer uses RotaCloud, you'll likely be given access to your own account. If so, you'll be asked to set up a password to log in and may be asked for additional information in order to set up your account. Once you're set up, you can log in to access your shifts, request leave, and more.

Receiving and accepting your invite

When your employer is ready, they will send out your invite to join their RotaCloud account - this will come to you via email. Your invite may say one of two things - please follow the relevant steps below:

Option 1 - your invite has an 'Accept invitation' button

Begin by clicking the 'Accept invitation' button. You'll then be directed to a page that asks you to enter your preferred password and continue. Your account is now set up and can use your email address and this password to log in.

Option 2 - your invite has a 'Get started' button'

Begin by clicking the 'Get started' button. You'll then be directed to a new page and asked to provide your personal information to complete your account setup. This will include the following:

  • Title

  • Gender

  • Date of birth

  • National insurance number*

  • Phone number

  • Address

  • Emergency contact

  • Password

Please be aware every field on this page must be completed.

Once done, you will see a 'Submit details' button at the bottom of the page. Click this and you're details will populate your RotaCloud account and your employer will be made aware.

Your account is now set up and can use your email address and this password to log in.

If your employer has sent your email invite but you can't find it, we would advise checking your spam/junk folder. If you still can't find it, please reach out to our team at support@rotacloud.com and they can help.

Two-factor authentication

You may also be required to use two-factor authentication to log in. This is an additional security step which requires you to enter a code generated by a third-party app. You can learn how to set this up here.
