How to remove a shift from RotaCloud and what your employee sees

You can delete your RotaCloud shifts one-by-one or in bulk - your employee will then be notified automatically. This can be done either on desktop or through the app.

Deleting individual shifts on desktop

Shifts can be deleted on the Rotas page - navigate there and hover over the shift you would like to remove. You'll then see three dots in the corner of the shift box - click this and then the red 'Delete shift' option.

You'll then see a warning message asking you to confirm. Click 'OK', and the shift will be deleted.

Deleting a week or month of shifts

When on desktop, you are able to clear a full week or month of shifts at once. To do this, go to the Tools menu, via the spanner icon at the top of your page, and select 'Clear week' or 'Clear month', depending on your view.

You will then see a warning message asking you to confirm you'd like to clear all shifts for that week on that Location. Click 'OK' to continue and remove the shifts.

Deleting shifts in bulk

RotaCloud Pro offers a Bulk Actions tool which allows you to filter down your shifts, find what you need, and make changes to them all at once. This can be used to delete hundreds of shifts at the same time.

If you have Pro, you can find this on the Rotas tab on desktop by going to Tools > Bulk Actions.

Deleting individual shifts on the app

To delete an existing shift on the app, simply go to the Rotas tab, view your shifts either in the list view or the grid view, and tap on the shift you wish to remove. On the shift card, click the three grey dots in the top right corner.

Tap 'Delete shift' and then confirm you would like to remove it by tapping 'Yes, delete'.

Restoring deleted shifts

You can also view and restore shifts that have been deleted. To do this, go to the Rotas tab and click on the Tools menu at the top of the page. Select 'See deleted shifts' from the list.

You'll then see a list of the deleted shifts in your account including information about the shift, who deleted it, and when. There are filters at the top of the page so you can narrow down your date range, employee(s), Location(s), and Role(s).

To reinstate a shift back onto your rota, simply click 'Restore' on the right.

Notifying employees of deleted shifts

When a shift is deleted, the relevant employee(s) will be automatically notified that their shift or shifts have been deleted*. These notifications can be sent via email, app, desktop, or, if SMS is enabled on your account, via text message.

Messages regarding deleted shifts have an intentional delay of around 10 minutes before any notifications are sent out to staff to avoid notifying of accidental changes. Staff will be able to see the change immediately when logging into their accounts, however.
