Understanding the information on your timesheet

If your employer uses time and attendance, you will have a timesheet section on RotaCloud. This will show your clock in and out times and any leave you've taken. It will also tell you how many hours paid you have for each day and as a total across the pay period.

Clock in and out times

As you clock in and out of RotaCloud (either through the RotaCloud app or a terminal), the times you log will feed through to your timesheets. To access your timesheet on the app, tap the 'Timesheets' icon in the bottom right corner of your screen.

You'll then see a list showing dates on the left-hand side and, beside that, clock in and out times and breaks. You may see these rows as either highlighted yellow or simply in white. Yellow means the record hasn't yet been approved by your manager, and white means it has been seen and approved.

Below the clock in and out times, you'll see the scheduled shift you have on the rota and length of the scheduled shift in hours.

If you're on desktop, you can find your timesheets under the 'Timesheets' tab at the top of the page. This will provide the same information (date, clock in/out times, scheduled shift etc.) but the number of hours paid will be converted into a decimal making it easier to calculate your pay.

An example of this decimal conversion would be if your 'Hours Paid' are showing as 6.25 hours, this would be six and a quarter hours or 6 hours and 15 minutes.

Hours Paid

Beside your clock in and out times, you'll see the number of hours paid for each shift. This may vary based on your account settings (for example, your employer may choose to not pay you until the start of your scheduled shift rather than your clock in time).

At the bottom of the page, you will also see the total number of hours paid you have for the pay period so far and the total number of hours scheduled for the entire pay period.

Viewing Leave

Your timesheet will include your leave data as well as clock in/out times. This will show similarly on both app and desktop - the type of leave will be listed beside the date, along with the number of hours that have been assigned to it and whether this is paid or unpaid.

On then app, you can also tap to see a summarised view of the leave information.

Lateness

Your employer may have set lateness to flag up on timesheets. This is set to highlight after a certain amount of time so may not always show if you're late.

On desktop, this will automatically show when viewing your timesheet and, on the app, this will flag up when you tap on a clock in record. This can also impact pay depending on what settings your employer has in place - if you're not sure about this, please speak with your manager.

Viewing previous periods

If you'd like to see information for previous pay periods, you. you. can navigate here at the top of your screen. If you're on the app, simply tap the dates or month at the top of your screen, then select the pay. period you'd like to view.

If you're on desktop, you can view this in the top left of your screen. Click this dropdown and select the pay period you'd like to view.
