How do I notify staff when a shift is cancelled?

How to let staff know that they are no longer required to work a shift

RotaCloud will automatically notify staff if you have made amendments to their published shifts providing they have 'Rota updates' enabled in their notification settings. Users can be notified by email, desktop, app push, and SMS*. Below explains what actions will notify staff of a cancelled shift:

  • Deleted shift
    If you delete an employee's shift , they will be notified of this and will no longer see it on their rota.

  • Unpublished shift
    Unpublishing an employee's shift will notify the employee their shift had been deleted as it will no longer be visible to them.
    โ€‹

  • Moved shift
    Moving a shift to another user or to open shifts will notify the (original) employee that their shift has been deleted as it will no longer be visible to them.

    (If the shift has been moved to a different day but the same user, they will be notified on an update to their shift).

*SMS is an additional package and can be added to your account on your billing page.

Enabling notifications

Each RotaCloud user has their own notification preference settings. All these will be enabled by default but, if staff would like to amend them, they can go to Settings and then Notifications. They will need to ensure 'Rota updates' are enabled.

Manually sending a message

Deleted and amended shift notifications will be automatically sent out through each employee's preferred notification methods. If you'd also like to manually send them a message informing them of any changes, you can do this using the Memos tool.
