When to use Locations and Role to split up your account

Locations and Roles are the primary way to split up your RotaCloud account. Each perform separate actions and it's important to set these up correctly to get the most out of your account.

When to use Locations

Locations are used to divide your account up into separate rotas to determine which employees Managers can oversee.

Each Location you create will be a separate rota. You can create as many Locations as you need, at no extra cost, and employees can be assigned to multiple Locations. Your Locations can be anything you need - departments, teams, offices etc..

On the Rotas page, you can navigate between your different Locations in the top right corner.

You can use Locations to determine which Manager oversees which employees. In a Manager's profile, you can determine what permissions you would like them to have (permission to edit the rota, permission to approve leave etc.). Beneath this you'll see a list of 'Locations Managed' - the permissions you've given the Manager will apply to all employees assigned to work at their Locations managed.

When to use Roles

Roles are used to determine the type of work an employee will be doing during a shift and also how much they will be paid for the shift (either hourly or per shift). For example, in a restaurant, the Roles could be 'Bar staff', 'Chef', 'Front of house' etc..

Roles are assigned to shifts and can have a different colour and employees can be assigned to multiple Roles.

In an employee's profile, you can set different Roles to pay different amounts and the system will automatically calculates costs based on the number of hours worked under each.
