How do I use overtime?

Using RotaCloud's built-in overtime feature

If you use RotaCloud's Time and Attendance package, your payroll report will automatically calculate overtime for you based on your employees' weekly contracted hours.

Setting up an employee for overtime

In order for overtime to be calculated for an employees, you'll first need to ensure you've added their weekly contracted hours into their profile.

To do this, click the Company tab and select Employees. You can then select the employee you'd like to add this for from your list.

Once you've chose your employee, you can simply enter the number of 'Weekly Contracted Hours' in their profile.

If you would like to pay your employee a different rate when they work overtime, you can also add this in their profile. Start by selecting 'Wage & Salary' from the menu on the left.

You can then enter the hourly overtime rate in the box provided.

Once done, simply scroll to the bottom of your page and click 'Save.

Overtime can be seen on your payroll page and on any of your payroll reports.

To access these, click your Attendance tab and then 'Go to Payroll at the top of your page.

You'll then see an overview of your payroll figures for your pay period, included a column for any overtime each employee has earned.

How overtime is calculated

Overtime is calculated differently depending on your pay periods. If your pay periods are in weekly intervals such as weekly, 2 weekly, 4 weekly or 4-4-5, overtime will do the following calculation:

( total hours + holiday hours paid ) - ( weeks in period * weekly hours )

If the number of days in your pay period fluctuates each time, for example, monthly, last/second to last X of the month or twice monthly, the number of hours that need to be worked in order to earn overtime will change each month and we will need to add a formula to your account in order for overtime to be automatically calculated. This will be calculated as follows:

( total hours + holiday hours paid ) - ( days in period / 7 * weekly hours )

Customising your overtime calculation

Some adjustments can be made to your overtime calculation (these will need to be made by the RotaCloud support team in the back-end of your account).

The following leave types can be included:

  • holiday hours paid

  • other leave hours paid

  • sickness hours paid

  • maternity paternity hours paid

  • public holiday hours paid

  • absence authorised hours paid

  • absence unauthorised hours paid

  • furlough hours paid
