Day Notes allow you to add a message to a specific day on the rota. They can be made specific to one Location or applied to several. You can also choose to make this visible to employees or only visible to those who can edit the rota.
How to add a Day Note on desktop
Day Notes can be added on the Rotas page. To add a Day Note, find the day you'd like to add a note to, and click on the date at the top of that page. You will then see a pop-up and can click '+ Day note'.
You will then see a pop-up box which allows you to enter the details of your Day Note. Here, you can choose to when you would like the note show (it will default to just the current day but you can extend the star/end date), the title of the note, the note itself, if this is visible to employees, and which Locations it should apply to.
Once you've entered this information simply click 'Create Note'. Any existing notes will be indicated as a grey speech bubble icon beside the date at the top of the rota and can be hovered to see the message.
How to add a Day Note on the app
Day Notes can be added on the app via the Rotas tab - this is added the same way in either list or grid view.
Simply navigate to the day you'd like to add the note to and tap the date near the top of your screen.
You can then select 'Add day note' and enter the start and end date, title, note, select if you would like it visible to employees, and select the Location(s) you would like it to apply to. Once you've entered these details, tap 'Add note'.
To change between list and grid view on the Rotas tab, just tap the icon in the top left below the Location name.
Who can see the Day Note
Day notes are always visible to all Admin users and sometimes visible to Managers and Employees. If the note is not set as 'Visible to employees' a Manager who has the permission to edit that rota will be able to see it but no employee level user will.
If the note is set as 'Visible to employees', anyone who can view that Location will see it.
How to view a Day Note on the app
On the app, a Day Note will be indicated by a grey speech bubble. You can see this on various pages of the app such as the Dashboard, Rotas (both list and grid view), and Shifts tabs.
