How to set up and view labour forecasting

Labour Forecasting is a tool that allows you to enter your estimated takings and your desired targets. These then show on the Rotas page and highlight if you're above, below, or on these figures. You can also go back in at a later date and enter your actual revenue to see your true labour spend as a percentage. This is available as part of our Pro package.

Setting up your Labour Forecasting

You can set up Labour Forecasting in your account settings - click the cog icon to access this. Then, from the menu on the left, select 'Budgets & Forecasting'. At the top of the page you can select the Location and year you'd like. Below that, you will see a scrollable list of all the weeks of that year, a section for weekly estimated revenue, a section for weekly labour percentage target, and a section for each day of the week to enter estimated revenue and target percentage.

There are two ways you can enter estimated revenue - if you enter your total weekly estimated revenue the system will divide this between seven and evenly distribute this across each day of the week.

Alternatively, you can click on the section under each day and enter a custom figure for each individually.

Once you've entered your estimates, you then need to add in what percentage of your estimated revenue you'd like to spend on labour for each day and the system will calculate what the cost is.

Copying/duplicating labour forecast data

If your revenue estimates or percentages remain the same throughout the year, you can easily input this. Simply set up the data you need for one week and then hover it and click the three dots shown below.

You then have the option to copy all the figures from that week to the end of the year, copy only your revenue estimates to the end of the year, copy only your percentages to the end of the year, or clear that week.

Viewing your weekly labour targets on the Rotas page

Once you've entered your estimates and percentages in your Settings, you can enable these to show on the Rotas page.

To do this, head to Rotas and then the 'Sort & Filter' option in the top right. Tick the option 'Labour targets' and you'll see these across the top of your rota. As you add shifts, the system will tell you if you're over or under your target (green for under, red for over), how much by, and what percentage you're at.
