How to set hour and cost limits for the rota to help stick to budgets

Our Budget Caps tool allows you set limits for your hours and costs - these then show on the Rotas page as you add shifts highlighting if you're above, below, or on these figures. This is available as part of our Pro package.

Setting up your budget caps

You can set up budget caps in your account settings - click the cog icon to access this. Then, from the menu on the left, select 'Budgets & Forecasting'. Near the top of the page, navigate to Budget Caps.

Just below this, you can select the Location and year you'd like and will see a scrollable list of all the weeks of that year. For each week, you can enter your hours target and costs target. If you enter this in the 'Weekly rota target hours' and 'Weekly rota target hours' sections, the figures will be evenly divided between the days of the week.

If your estimated hours and costs fluctuate throughout the week, you can manually enter the figures for each day of the week and the total will be calculated for you.

Copying/duplicating budget caps data

If your hours and costs targets remain the same throughout the year, you can easily input this. Simply set up the data you need for one week and then hover it and click the three dots shown below.

You then have the option to copy your hours and costs targets to the end of the year, copy only your costs to the end of the year, or clear the week of data.

Viewing your weekly budget caps on the Rotas page

Once you've entered your hours and cost targets in your Settings, you just need to enable them on your Rotas page. To do this, click the 'Filter & Sort' menu near the top right and select 'Budget caps'.

You'll then see your targets across the top of the rota and the system will highlight if you're on, above, or under these.

You can also hover the figures to see the targets you have set.
