How to use the Temporary Cover feature to borrow employees from different Locations to cover shifts

Temporary Cover allows you to cover a shift by borrowing an employee a different Location. The employee will not be permanently assigned to the Location of the shift but will just show for that one week.

Setting up

(To use Temporary Cover, you'll need to have more than one Location).

Admin users will have automatic use of Temporary Cover and can choose to give this ability to Managers too. To allow a Manager access to this, go to Company > Employees and select the Manager you need.

On the right of the page, you will see a list of their Permissions, Locations Managed, and Temporary Cover Locations. Under 'Permissions', they will need to have 'Create and edit rotas for locations they manage' ticked, and will also need to have at least one Location ticked under 'Locations Managed'. You can then tick whichever Locations you'd like them to borrow employees from under 'Temporary Cover Locations'.

Save the changes at the bottom of the page and your Manager will now have access to this tool.

Using Temporary Cover

To use Temporary Cover, go to your Rotas page and click on the shift you would like to assign to someone else. Click the three grey dots on the shift box and select 'Assign Temporary Cover'.

You'll then see a summary of the current shift you're moving to someone else and, below that, a list of all the employee you can assign the shift to.

There is also an option to filter the list down to only show employees from a specific Location (the list will default to show you all employees who can work the Role across all Locations).

Once you have select the employee you'd like to move the shift to, click 'Confirm' and the employee will appear on your rota with the shift assigned to them.
