How to use Share Links to allow someone outside of your company to see a live rota

Share Links allow you to give someone outside of your business access to an uneditable version of your rota. Once created, you can send this link to anyone you like and they can click it to see an up-to-date rota (so no need to resend the link each time your rota has changed).

Creating a Share Link

Share links can be created on the Rotas page by an Admin user or a Manager who has permission to edit the rota. To create one, click on the 'Tools' menu in the top right and then select 'Share'.

On the pop-up box, click 'Create link'. You'll then be able to send this link in any way you like (email, etc.) to anyone who needs access to your rota.

Creating a Password-protected Share Link

If you use RotaCloud Pro, share links can be created that require a password to access them - to do this, click on the 'Tools' menu in the top right and then select 'Share'.

You'll then see a pop-up box, where you can select 'Add Password/Expiry Date'.

On the next page, tick the option 'Only people with the password' and, below that, enter the password you'd like to use. Once done, click 'Create Link' and you'll see a link which you'll then be able to send this link in any way you like (email, etc.) to anyone who needs access to your rota.

Setting an expiry date for a Share Link

If you use RotaCloud Pro, share links can be created that require a password to access them - to do this, click on the 'Tools' menu in the top right and then select 'Share'.

You'll then see a pop-up box, where you can select 'Add Password/Expiry Date'.

On the next page, tick 'Yes' beside the 'Add expiry date' section and, in the date box that appears, either type the date you'd like or click the calendar icon and select the date. Once this date has passed, the share link will no longer be accessible to anyone (you are able to set up a new link any time you like). Once done, click 'Create Link' and you'll see a link which you'll then be able to send this link in any way you like (email, etc.) to anyone who needs access to your rota.

Deleting a Share Link

If you need to delete a link that you have created (this will mean anyone who has that link currently will no longer be able to use it), you can go to the Rotas page and click the Tools menu. Select 'Share' and, on the pop-up box, click 'Delete'.
