Why can't I request leave?

A summary of key some reasons you're not able to make a leave request in RotaCloud

RotaCloud has the ability to manage your leave and leave requests but, as an employee, there may be several reasons why you're not able to request leave which are mentioned below.

Leave requests not enabled

The ability for staff to request leave is an optional feature of RotaCloud. If your employer doesn't have this tool enabled, you will not be able to make any leave requests.

If this has not been enabled, you will still see the leave tab on app and desktop, and can see any leave your employer may have assigned to you, but will not see any blue plus to make a request.

Leave Embargo or Leave Request Rule in place

Your employer may have added a leave embargo or a Leave Request Rule, both of these stop and leave requests being made for specific dates. If one of these two has been added, when making a leave request, you will see a red banner at the top of the page. (This will contain a custom message added by your employer).

Integrations (breathe and PeopleHR)

If your employer has an integration in place, this will stop you making leave requests directly in RotaCloud. We currently have integrations with breathe and PeopleHR - if this is in place, you will need to make your leave request in this other system and it will feed into RotaCloud automatically.

Clashing leave

If you already have leave in place that clashes with the request you're trying to make, the system will not allow you to make the request. You would need to either make more than one request around the existing leave, or speak with your manager and ask them to delete or amend your existing leave.

Remaining Leave Allowance too low

If your employer has your account set up so you cannot go below your leave allowance, your leave request might not go through. If, for example, you only have two days remaining in your allowance and attempt to put in a leave request for five days, you will see the error message 'You have not got enough hours remaining in the 2024 leave year to request this holiday' and won't be able to proceed.

Your Manager is able to override this and manually add leave for you, so please speak with them if the leave is important.

Leave requests can only be made for Holiday, Other Leave, and TOIL (if you have a TOIL allowance). If you need another type of leave adding such as Sickness or Maternity/Paternity, please reach out to your manager.
