How do I set up two-factor authentication?

How to add an extra layer or security to your account using two-step authentication

If you'd like to add an additional security step to your RotaCloud account to help ensure only you can log in to your account, RotaCloud offers two-factor authentication (also known as 2FA, two-step authentications, or multi-factor authentication, or MFA).

What is 2FA?

Two-factor authentication is an extra security step used when logging in to your RotaCloud account. Once set up, you will be required to enter your email address, password, and a six-digit PIN generated by an authenticator app on your phone.

Downloading an authenticator app

You will need to download a third-party authenticator app in order to log in with two-factor authentication enabled. RotaCloud will work with various authenticator apps but we would typically recommend Google Authenticator as a good option; it is free to download and use.

Note: the steps below demonstrate how to set up 2FA using Google Authenticator - other authenticator apps will vary in functionality.

Setting up 2FA on desktop

Two-factor authentication needs to be set up on a desktop*, but you will also need to use your phone for the Google Authenticator app.

You will first need to log in to RotaCloud on a desktop and then click the cog icon in the top right corner to access your settings. From the menu on the left, select 'Password & Security' and then click 'Enable Two Factor Authentication'.

You'll then be taken to a screen which shows a QR code.

Open up your authenticator app (log in if you haven't already) and tap the plus icon in the bottom right.

You will then have the option to either 'Scan a QR code' or 'Enter a setup key'. Select 'Scan QR code' and the app will then open your phone's camera. Hold this over the QR code on your desktop and your authenticator app will recognise it. Your Google Authenticator app will then show you a code which you simply need to enter on your desktop in the 'Enter Generated Code' box.

Once done, click 'Validate' on your desktop and the setup will be complete.

*If 2FA has been enforced on your account by your employer, you will be shown prompts to set it up through the app.

Logging in using 2FA

Once you've set up 2FA, you'll now need to use two-factor authentication every time you log in to RotaCloud. To do this, enter your email address and password as normal then proceed. You'll then be asked for your six-digit authentication code - to access this, simply open up your authenticator app, check the six-digit code currently showing there, head back to your RotaCloud login page, and enter it.

Recovery codes

When using 2FA, it's important you download your recovery codes as a way of logging in should you lose access to your authenticator app for whatever reason.
